Question.2936 - The President of the United States (POTUS) is coming to your city to sign a back- to-work bill due to a large manufacturing plant opening up in your community. He wants to use this factory as a back-drop to sign the bill, and he will stay in the city overnight. Your hotel has been selected to house his entourage due to its proximity to the factory location, its secured parking area, and the size of the hotel which accommodates 100 rooms. Your GM tells you “We have ten days to make this work.” The President is to arrive on Wednesday and depart Thursday. You look at the dates in question and determine that you are sold out for a high school prom on Wednesday night at a low rate of $59. The government rate for the President’s group is $110.00. In addition, the group needs 50 rooms on Monday and Tuesday for the Secret Service detail and lead assistants. You show only 40 rooms available right now for Monday and Tuesday night. You know that you must move some guests, yet you have been told that this is top secret per the GM. You cannot tell anyone. Based on the constrained supply, and knowing that you cannot turn any POTUS business down, answer the following questions. ?What room inventory changes would you make with availability in the reservation system? ?How would you “move” reservations to accommodate the POTUS group? Where would you move them? ?How would you determine what guests to “move” and why? What would you say

Answer Below:

Question 1 For Monday and Tuesday - Room No’s 6, 7 and 8 on the first floor are presently unoccupied and hence occupants of Room No. 86, 87 and 88 on the fifth floor will be requested to shift to room No’s 6, 7 and 8. Occupants of Room No. 2, 3, 4 and 5 on the first floor have been asked to shift their belongings to the cloak room as they will be out on a mountaineering expedition. Occupants of Room No’s 94 and 92 on the fifth floor, 62 and 79 on the fourth floor and 15 and 16 on the first floor have been provided with alternative reservations in nearby hotels. For the stay of the President – Rooms booked on the second and third floor for the prom night by the high school students have been shifted to the annexure building adjacent to the hotel having its separate banquet hall too. Question 2 The reservations will be informed over the phone that their bookings have been altered slightly due to the emergent situations and they will be provided with the best possible alternatives. Moreover, on their arrival they will be escorted to the dining rooms where they will be provided with sumptuous meals specially prepared by the chefs and will also be informed of the change of their rooms. This strategy always seems to work because the guests will be delighted by the complementary sumptuous dinner and thus will readily agree to change their rooms. As regards the elderly couple, the students and a few other guests at the hotel will be informed of a grand a gala dinner party hosted by the hotel. Even though the dinner will be provide by the hotel authorities it will not cost them financially as they have already received the room tariffs and the payment by the presidents’ entourage will be an additional gain for the hotel. Thus, the hotel is planning to organize a live magic show and a fancy dress party to enthrall and excite the students. For the elderly there will be a serene mini opera organized which will transform them to a far away world. Thus, when in such an environment then news of the room changes will be made it will be gladly accepted by all and sundry. Question 3 Three rooms on the top floor reserved for three elderly couples who are a regular patrons and have come to the country side to spend a few days in solitude. These guests will be told that keeping in mind their love for nature they will be provided rooms on the first floor which overlooks the rose garden with a fountain and a bird cage so that they could lap up the bounty of nature and relax in the more comfortable rooms on this floor. These rooms also have ample sunlight and they could in the sunlight during the mid morning time. These rooms are adjacent to the reading room of the hotel and could be easily accessed by them. Four rooms have been booked on the first floor for a group of students who will be visiting the nearby hill side for a mountaineering expedition. They will be requested to shift their belongings to the cloak room as they will not require their allotted rooms at the hotel at night. In lieu of the inconvenience caused to them the hotel authorities will be providing them with a complementary meal on their return from the mountaineering expedition and will also provide a free drop to the nearest airport on the day of their departure. The reason given for cancelling the bookings for rooms 94, 92, 67 and 79 was that some technical snag has been detected in the AC ducting of the above mentioned rooms which needs immediate repair as it could lead to a major fire if left unattended. The inconvenience caused to them is regretted and they are provided with alternative reservations in nearby hotels for their convenience. For providing accommodation to the President’s entourage on Wednesday and Thursday the entire second and third floor of the building has been vacated. Bookings made by the high school students for their prom night have been altered. They have been informed that they will be provided accommodation in the building adjacent to the main building. The reason given would be that the higher authorities of the hotel will be holding a high level meeting on that particular day and they have to be provided with accommodation on an emergency basis. They would not tolerate any disturbance in their meeting and hence the change of rooms allotted to the students. All the students will be provided with accommodation in the annexure building at a further discount of 10% on their billing. They can use the entire building and also the banquet hall associated with it for their celebrations.
